BASIC FUNCTION Under limited supervision, this position is responsible for exercising considerable discretion and independent judgment while performing secretarial, administrative and office management duties, including composing and typing correspondence, report development, meeting coordination, maintenance of confidential documents, and screening phone calls and visitors. These duties require a thorough knowledge of divisional policies, practices and procedures to ensure the office functions efficiently. This Executive Administrative Assistant level requires strong initiative and may entail decision making authority. Incumbent takes a broad perspective to problems and spots new, less obvious solutions. Will also handle special projects including complex calendaring and coordination of meetings, making travel arrangements, arranging for on and off-site luncheons as well as sending out invitations. Will attend management and other meetings for the Divisional Senior VP and prepare summaries of decisions and commitments made at meetings and conferences. NOTE: this role is hybrid/flex and generally requires in-office visibility three days per week (unless otherwise required by senior leadership). Relocation will not be provided; sponsorship is not available either now or in the future.JOB REQUIREMENTS
- High School Diploma or G.E.D. (general educational development).
- 3 years of prior, senior-level administrative support experience.
- Knowledge of office procedures and equipment.
- Strong computer literacy and PC proficiency to include Word, Excel, PowerPoint and Workday.
- Strong verbal and written communication skills, including punctuation, composition, sentence structure, etc.
- High degree of confidentiality and ability to maintain a professional demeanor.
- Ability to exercise confidentiality, tact and diplomacy.
- Independent judgment and initiative to act with authority as needed.
PREFERRED REQUIREMENTS
- Secretarial certificate from accredited secretarial school or professional certification, such as the Certified Administrative Professional (CAP).
- Advanced degree would be a plus.
